Privacy Policy Statement

Thank you for visiting this website of Keystone Symposia on Molecular and Cellular Biology (www.keystonesymposia.org) (the “Site”).  Your privacy is important to us.  This privacy policy statement (the “Policy”) explains how we collect and use information supplied by you and how you can control the use of your information.

Information We Collect and How It is Used

We collect personally identifiable information provided voluntarily by visitors to our Site.  Except as noted in this Policy, personally identifiable information is not shared with third parties without your consent.

The information collected varies based on the type of activity in which users engage on our Site, but in general, the following types of personally identifiable information may be collected: name, address (work and/or home), email address, telephone number and fax number.  This information may be used to contact you regarding your participation in a conference (such as scheduling, logistics); as well as to provide you with information regarding other Keystone Symposia conferences and other information we believe may be of interest to you (e.g., newsletters or announcements).

You should not enter any personally identifiable information into the Site unless you are willing to have that information used by us in accordance with this Policy.

If you engage in an activity on the Site that requires payment, such as registering for a meeting or submitting an abstract for a meeting, we will also collect credit card information and the associated billing address.  This information will only be used to process your payment.

We may also ask users of our Site to provide additional information, including gender, ethnicity, citizenship, degree, occupation, and information about scientific interests.  Except as provided elsewhere in this Policy, this information in personally identifiable form will be used only internally, to help us in our efforts to foster a diverse scientific community.  Aggregate data may be supplied to grant institutions to help us apply for grants that assist with our programs, such as scholarships and diversity initiatives. This information for speakers and organizers may be provided in grant applications in a personally identifiable form.

We may ask users to provide personally identifiable information, including gender, ethnicity, citizenship, degree, occupation, and information about scientific interests, to be included in an online networking database on our Site targeted to underrepresented minorities.  This information would be available only to registered users of the Site.

You may also supply information about other people.  For example, you might submit a colleague’s name and email address in order to tell a friend about a specific meeting or request a recommendation letter for a scholarship application.  Examples of the types of personally identifiable information that may be collected about other people at these pages include: name and email address.  This information is only used for the specific activity, such as emailing the requesting meeting link to the person or requesting a recommendation letter.

We occasionally add to our database names and email/postal addresses obtained from reputable sources, such as partner companies who share their lists and internet databases in the public domain. Once on our mailing list through this means or by adding themselves, individuals always have the option of unsubscribing so that they no longer receive all or certain types of communications from us.

We may also collect various types of non-personally identifiable information when you visit our Site, such as the type of browser you are using (e.g., Internet Explorer, Firefox), IP address, operating system (e.g., Microsoft Windows or Mac OS), referring website and/or domain name, and the web pages you have accessed.  This anonymous information is used to improve our Site and marketing campaigns.

We may collect additional information from our Board Members, Scientific Advisory Board Members, speakers, Keystone Symposia Fellows, and scholarship recipients.  Examples of this information include photos and educational and professional background information.  This information may be used on our Site or in marketing materials.

We occasionally conduct surveys by email that solicit opinions and feedback, but in the majority of cases these are anonymous and we do not track responses to particular individuals. The exception is the surveys we send to scholarship and travel award winners who attend our meetings; these are not anonymous because we need to report back to funding sources.

By participating in a Keystone Symposia meeting, attendees acknowledge that their name and photograph may be published in material produced by Keystone Symposia.  Photographs of meeting interactions taken by Keystone Symposia may occasionally be used in our marketing literature.

Information Sharing

We do not sell, rent, or share any personally identifiable information with any third-party individual or organization, except as specified in this Policy. Keystone Symposia may provide personally identifiable information to third-party entities in connection with printing and distributing Keystone Symposia's own catalogs, brochures, and other materials to users of the Site who have not opted out of receiving such communications (as outlined in the "How You can Access, Correct, or Remove Your Information" section of this Policy). Full contact information of those who have registered for a Keystone Symposia meeting may be published in the abstract book for the meeting; we do not make this attendee information available electronically to the general public, but attendee names and institutions may be listed on our Site in a secure section accessible only by attendees of the same meeting. We may share your contact information with organizers and speakers of a conference to assist them with the duties of planning and organizing the meeting.

We may disclose personally identifiable information if required to do so by law, such as in response to a law enforcement agency’s request, court order, or where necessary to investigate or prevent fraudulent or illegal activities.

Registered Users

Registration is not mandatory to access the public areas of our Site.  Registration is, however, required for access to certain areas of our Site and the products and services offered through those areas of the Site.  The areas of the Site requiring registration are noted on the Site.

Users registering to receive an account on the Site will select a username and password for purposes of accessing their account and the portions of that Site available to account holders.  When accessing the portions of the Site available to account holders, users may be required to provide their username and password.

We are not responsible for any loss or misuse of your username and password; however, we do make all reasonable efforts to protect your information. Please remember that in order to protect your privacy, you should not share your username and password with others.

Third-Party Sites and Servers

Our Site has links to other websites for such purposes as booking lodging, getting more information on the conference location and activities, as well as many other purposes.  Be aware that our Policy does not apply to these other websites, and we are not responsible for any actions or privacy policies of such websites or their operators.  You should review the privacy statements of these external websites to determine how their information is collected and used before entering any personally identifiable information through the linked websites.

We do not partner with or have special relationships with any ad server companies.

International Visitors

The data protection and other laws of your country may be stricter than the data protection laws in the United States.  Any information you enter into our Site will be transferred to our database located in the United States.  By using this Site, you consent to this transfer and use of your information as specified by this privacy statement.  We make all reasonable efforts to ensure that your personally identifiable information is protected.

Cookies

Cookies are small text files placed on an individual’s hard drive by your web browser to enable the individual to more easily communicate and interact with a web site.  We may use cookies for various purposes, for example, to save user preferences, customize content of the Site for individual users, record session information (such as items that users add to their shopping carts), alert users to new areas of the Site that might be of interest, and save certain information about visitors to the Site in order to facilitate and enhance interaction with the Site.  We do not use cookies to retrieve information that is unrelated to Keystone Symposia.

A cookie does not collect or keep your name or other personally identifiable information; however, we may link the information obtained through cookies to other personally identifiable information to give us a better understanding of your preferences, so that we can provide you with a more meaningful experience on your Site.

You can change your browser settings at any time to accept or block all cookies or require your consent for individual cookies.

Our Commitment to Security

We have appropriate security measures, both technical and organizational, in place to help safeguard and prevent accidental loss or unauthorized access of your personally identifiable information.  We cannot guarantee the safety of your information but will make all reasonable efforts to protect your information to the best of our ability.  In the event that a breach does occur, we will notify you as quickly as possible.

Children

Our Site is not directed to children under 13 years of age, and we do not knowingly solicit or collect personal information from children under 13 years of age.

How You can Access, Correct or Remove Your Information

We reserve the right to continue to contact conference participants regarding payment matters or other conference logistics for their registered conferences, notwithstanding any request by conference participants to opt out of such communications.

Changes to this Privacy Policy Statement

From time to time, we may use customer information for new, unanticipated uses not previously disclosed in our privacy notice. If our information practices change at some time in the future we will post the policy changes to our Site to inform you of these changes. If you are concerned about how your information is used, you should check back at our Site periodically.
