We understand that plans can change. Please review our policies below regarding cancellations, transfers, and refunds for in-person meetings.

• All cancellation or transfer requests must be submitted in writing.
• Requests must be received at least 15 days before the meeting start date to be eligible for a partial refund or refund of the product price difference.

• Cancellations are subject to a $200 cancellation fee, unless you choose to transfer your registration to another meeting (see transfer options below).

• You may transfer your registration in one of two ways:
  • To another person (e.g., a colleague).
  • To a future in-person meeting for yourself.
• All transfers must occur within the current meeting season (July–June).
• Transfers are only available for in-person meetings.

• Abstract fees are non-refundable. If you are a scholarship applicant, contact scholarships@keystonesymposia.org directly.
• If the meeting is cancelled by the organizers, all registered attendees will be notified and provided with information on refunds and next steps.
• If you cannot attend due to travel restrictions imposed by your company or country:
  • A partial refund (minus the $200 fee) will be issued if your cancellation request is received at least 15 days before the meeting start date.
  • Full refunds are not available under these circumstances.
  • If you believe you may face travel restrictions and cannot forfeit the $200 fee, consider purchasing Livestream or On Demand.

We recognize that obtaining a visa can be a complex and uncertain process. If your visa application is denied and you are therefore unable to attend the meeting, we offer the following cancellation policy:

• You must notify us in writing of receiving your visa denial no later than the meeting start date.
• A copy of the official visa denial letter from the relevant embassy or consulate must be provided along with your cancellation request.
• Refund and Transfer Options: Upon receipt and verification of documentation, eligible participants may be offered one of the two options below:
  • transfer your current registration to livestream or on-demand with a refund of the difference.
  • a full refund of the registration fee.
• Refund requests received after the meeting start date or without proper documentation will not be eligible for a refund.
• Requests for cancellation due to delayed visas (i.e., the visa was not received on time) will be reviewed on a case-by-case basis only.

We strongly encourage all international attendees to apply for visas as early as possible to allow time for processing. Meeting registration opens six months before the meeting start date.

In-Person Meetings: These meetings take place at a physical location. Your attendance is required in person.

Livestream Meetings: These meetings are broadcast live from an in-person event. You can attend remotely by streaming the meeting in real time on your device.

On Demand Meetings: These are recordings of past meetings. You can access them at your convenience through your account, and they will remain available for 6 months after the original meeting date.
